1. Who we are

Empower Team is a professional association of independent, individually licensed financial and insurance advisors. Empower Team is not a company or a separate legal entity. Each advisor is responsible for the personal information of the clients they serve and handles it in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial privacy laws – including Alberta's and British Columbia's Personal Information Protection Acts and Québec's Act respecting the protection of personal information in the private sector – and the requirements of our regulators and of the insurers and agencies we are contracted with.

This policy applies to our website (empowerteam.ca), its forms and online booking, and our work with clients, including our client management system at crm.empowerteam.ca.

4. Consent

We collect, use and disclose personal information with your consent, except where the law permits or requires otherwise. We ask for your express consent before collecting sensitive information such as health or detailed financial information. You may withdraw your consent at any time, subject to legal or contractual restrictions. Withdrawing consent may limit our ability to provide some services.

5. Who we share it with

We share only what is needed, and only for the purposes above:

Our service providers may use your information only to provide their services to us and must protect it. AI tools only assist the advisor. All recommendations and decisions are made and reviewed by your advisor.

6. Where your information is stored

Our website, email and client management system are hosted in Canada. Some service providers, such as Google, Apple, Zoom, Adobe and Anthropic, may process information in the United States or other countries, where it may be subject to local laws.

For residents of Québec: your personal information may be communicated outside Québec.

7. Google user data

Advisors may connect their own Google account to our client management system. The system then accesses the advisor's Google Calendar and Google Contacts, and the advisor's email address. It uses them only to sync appointments and contacts between Google and the system, and to display this information to the advisor, including through the system's AI assistant when the advisor asks it to.

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data:

An advisor can disconnect Google at any time in the system's settings. Disconnecting revokes access and deletes the stored connection data.

8. How we protect it

We use physical, technical and administrative safeguards appropriate to the sensitivity of the information. These include encrypted connections, access limited to authorized advisors and staff, and individual accounts with strong passwords.

9. How long we keep it

We keep personal information only as long as needed for the purposes above or as required by law and by our regulators and contracted insurers. After that, it is securely destroyed or anonymized.
